After typical office hours, After Hours Services routes calls to Kyetech and into our state-of-the-art computer network. Your account information immediately appears on the monitor, including the protocol for answering incoming calls. The call will get answered EXACTLY as you want it answered:
“Hello, ________ company, how may I assist you?” or “Thank you for calling _________ Emergency Line” or however YOU want it answered. With all of the information at our fingertips and your protocol right on the screen, we can do whatever is asked of us. If we need to contact someone in your company, we simply type the first couple of letters of that person’s name, press a key, and it is done.
This efficient procedure cuts down on mistakes/misdials, etc. and continues to reinforce to your customers YOUR professionalism. The After Hours Calls Service can be an extension of our Office Hours Calls Service. With Office Hours Calls, we answer the phone as if we were sitting in your reception area and put the customer through to your staff. When it’s 5 pm or whenever you designate, the protocol instantly changes within our system so our staff knows how to handle future incoming calls.
Virtual Reception Services
Virtual Reception (Office Services) can be 24 hours a day or just certain periods of time depending on your business needs. We can answer your overflow calls if you get too busy or your phone lines are down or you cannot get to your calls quickly enough. You can use call forward busy or call forward no answer so that if your lines are busy, the call is sent to Kyetech immediately or if you do not answer your phones after a certain amount of rings, the call will come to us to provide backup Reception services.
Or if you choose, you can keep your phone lines forwarded to us 24 hours/a day and we will provide full-time offsite Reception services. Kyetech provides Automated Reporting Unit (ARU) monitoring service and is able to do so 24/7. When Kyetech receives the aru alarm, the information is documented and then the Kyetech Operator can action the alarm per the pre-determined protocol determined by the client. This may mean going down a call-out list until the alarm is reported to someone or ignoring the alarm under special instructions. Having this service in place will ensure that no ARU alarms will be left without resolution.
